The Simple Systems I’m Using to Build My Business in Small Pockets of Time

I’m not trying to run my business on a giant tech stack or some perfect productivity routine. I’m building this in the edges of my day, so my systems have to be simple, steady, and easy to come back to when life gets busy.

Here’s what I’m using right now to keep things moving.

1. Trello for staying organized

I keep one board for business and one for family.
Nothing fancy — just lists for what’s coming up, what’s in progress, and what’s done.
If I can open Trello once a day and move one card forward, I count that as a win.

2. Short weekly plans instead of long to-do lists

With toddlers and a full-time job, long lists make me shut down.
I’ve shifted to choosing a handful of priorities for the week and tracking only those.
Everything else becomes optional, not pressure.

3. Simple automations

I use light automations where they actually help:

4. One hour a day (most days)

This is the system that changes everything.
One focused hour.
No multitasking.
No bouncing between tools.
Just one hour to move the business forward in whatever small way I can that day.

5. Systems that grow with me

The big lesson I’ve learned is that systems don’t need to be perfect. They just need to fit the season of life you’re in. As things shift next year, I’ll adjust. For now, this setup gives me enough structure to stay on track without overwhelming me.
